Data protection in the anny appointment booking system
Purpose
The booking system is used to book and organise reading room seats, study rooms, online and face-to-face training sessions, advisory appointments and book collection times.
Scope
The following data is processed:
- Title / Salutation
- Surname, First name
- HM email address
- Department (optional)
- Details of the resources booked
Legal basis
Legal basis for the processing of personal data: Article 4(1) of the Bavarian Data Protection Act (BayDSG) in conjunction with Article 6(2)-(3) and Article 6(1)(e) of the GDPR; the processing serves the purposes of the university.
Internal and external recipients
The recipients of the data are library staff members responsible for organising the Library premises, and the operators of the booking system, anny UG, based in 58453 Witten. We have entered into a data processing agreement with them in accordance with Article 28 of the GDPR.
Should data be transferred by Anny UG’s sub-processors to third countries (e.g. the USA), the legal requirements set out in Article 44 et seq. of the GDPR will be complied with.
Deletion
Personal data will be deleted after 4 weeks; statistical analyses are carried out using only anonymised booking data.

Authentication via Shibboleth
Authentication is carried out via the university’s Shibboleth login.
